Why guarding payslips go wrong
A guard's pay packet is rarely one flat number. There are ordinary hours, night shift hours, Sundays and public holidays — often at different rates and often on different sites in the same month. When all of that is squeezed into one lump sum on a handwritten note, neither the guard nor the employer can prove how the pay was calculated, and pay queries turn into disputes.
The fix is simply to show the build-up: ordinary hours and rate, then night, Sunday and public holiday hours as their own lines, allowances as their own lines, and each deduction named. That is the layout this generator produces — with the UIF deduction calculated automatically.
How to create them
1. Open the free generator and enter your company name and address once.
2. For a single guard, add the name, occupation (e.g. Security officer, Grade C), pay period and hours — put Sunday and public holiday hours in the overtime/additional lines with their rates so they appear separately.
3. For a full roster, download the CSV template, fill one row per guard, and upload it — you get one PDF with a payslip page per guard, all with the same period and employer details.
4. Hand or send each guard their page and keep a copy on file.
A note on rates
Sectoral determinations set minimum rates for many of these roles — check the current determination for the private security sector before each payroll run, and enter the rates that apply to each grade and area. The generator calculates from the figures you enter; it does not set or verify rates.
Frequently asked questions
Do security guards need payslips?
Yes. Guards are employees, and section 33 of the Basic Conditions of Employment Act (BCEA) requires written particulars of payment every time wages are paid — employer and employee details, the pay period, hours and rates, gross pay, each deduction and the net amount. That applies to every guard on the roster, on every site.
Must night shift, Sunday and public holiday hours show separately on the payslip?
Yes — the BCEA section 33 list includes the hours worked, and hours worked on Sundays and public holidays are specifically part of the particulars an employer must be able to show. Keep night shift hours, Sunday hours and public holiday hours as separate lines on the payslip rather than folding them into one total, so the guard (and an inspector) can see exactly how the pay was built up.
How do I create payslips for a whole team of guards at once?
Use the bulk option in the free generator: download the CSV template, fill one row per guard (name, hours, rates, allowances, deductions), upload it, and you get one PDF with a payslip page per guard. Employer details and the pay period are entered once and applied to everyone.
What pay rates apply to security guards?
Sectoral determinations set minimum rates for many of these roles — check the current determination for the private security sector before each payroll run, as grades, areas and allowances differ. This generator works with the rates you enter; it does not set them for you.
